ST. CLEMENT CARDINAL BOOSTERS

ST. CLEMENT ATHLETIC BOARD

The St. Clement Cardinal Boosters is a parish committee that promotes the mental and physical wellness of students through the participation of sports. The St. Clement Athletic Board is sub-committee that organizes and supervises the teams that participate in the CYO (Catholic Youth Organization).

ARTICLE I – Membership Officers & Directors

The officers shall consist of: President, Vice-President, Secretary, & Treasurer who shall be elected at the May meeting every two years by nomination within the Board.

All officers will be elected to two year terms

All new members must be approved by the majority of the Board

Any officer may be eligible to serve not more than two consecutive terms of the same office

The Board shall consist of the officers plus an additional 7 members for a total of eleven members

Vacancies among the officers or directors shall be filled by election of the Board, such offices to serve out the unexpired term

Terms of Board Members – Indefinite (upon resignation)

Another group of members will be Boosters. These will be part-time members who will help out at various times and events. They are only required to attend 1-2 meetings a year and help out whenever possible.

Attendance: All members are required to attend all meetings. Missing 3 or more meetings during the 9-month school year will result in that member being removed and replaced by a new member.

Meetings will be held the second Tuesday of each month (not including July & August) Six members shall constitute a quorum for the transaction of business at any meeting. However at the discretion of the President he/she may call for a vote of those present in the event of an urgent circumstance.

This constitution may be amended by a 2/3 majority vote of the members present at any regular meeting.

ARTICLE II - Duties of the Officers

The President shall preside at all meetings of the organization and shall have general supervision of the affairs of the organization.

The Vice-President shall assume the duties of the President in his or her absence. He or she shall serve as chairman of the fundraising committee.

The Secretary shall take Minutes at all meetings which shall be an accurate record of all business transacted. The Secretary retains all correspondence and maintains all the organization records and reads the minutes from the previous meeting for the approval by the Board.

The Treasurer shall have charge of the funds of the organization, and shall conduct its banking business and audit all accounts. The Treasurer or the President shall sign all checks. A detailed financial written report shall be presented to the Board at each monthly meeting. The Treasurer is accountable for all income and expenses under his/her control.

ARTICLE III- Duties of the Directors

The Board of Directors shall review the annual budget (set up at the June meeting) and financial report, and review all new plans and proposed activities. All Officers and Committee Chairpersons shall operate under the supervision of the Board.

Duties of Coordinators:

Practice Coordinators: duties will consist of gym scheduling, over-seeing the gym and field schedules, and assisting the sport coordinators when necessary.

Individual Sports Coordinator: is responsible for recruiting coaches, attending pre-season meetings, conducting sign-ups, distributing and collecting rosters and release forms, and returning them to CYO on the assigned date. It will also be their duty to make a suggestion to the board on the number of teams and how they will be divided. The entire board will then vote on this. They will also act as the liaison for the coaches to the board.

Parent Worker Coordinator: duties consist of scheduling all workers for home sporting events.

Equipment & Uniform Coordinator: responsible for purchasing and maintaining equipment for all sports. Assures that all teams receive and return uniforms each season.

Concessions Coordinator: duties include ordering, purchasing, and maintaining all concessions for home sporting events.

The other members of the committee, the Boosters volunteer their time when possible and attend meetings to voice their opinions regarding current issues.

ARTICLE IV - Sport's Sign-Ups

Guidelines: There will be scheduled sign-ups for all St. Clement Parish members prior to each sports season. These times and dates will be communicated through school and parish correspondence. If an individual fails to sign-up on assigned cut-off date, the following conditions will apply to their ability to sign-up late.

a. If numbers are at or exceed team maximum number, as defined in the by- laws, they will not be permitted to sign-up.

b. The individual will be permitted to sign-up and participate, but must pay a $25.00 late fee. (These conditions do not apply to new students.)

c. No fees will be returned in the event that the student quits the team.

Fees: The sports fee is $50.00 for the first sport played by the student. Each additional sport is $25.00. The maximum per student is $100.00. And the maximum per family is $200.00.

Boys Football (4th - 8th Grade)

Boys Basketball (3rd - 8th Grade)

Boys Volleyball (5th - 8th Grade)

Boys Baseball (3rd - 8th Grade)

Boys Track (6th - 8th Grade)

Girls Basketball (3rd - 8th Grade)

Girls Volleyball (4th - 8th Grade)

Girls Softball (5th - 8th Grade)

Girls Track (6th - 8th Grade)

Cheerleading (5th - 8th Grade)

ARTICLE VII - St. Clement Athletic Association Philosophy

At the 3rd, 4th, and 5th grade levels there will be no cuts. Every child will be given the opportunity to participate and learn the fundamentals of their sport. When the number of team members warrants - it may require that more than one team is necessary. In this case, the teams will be selected at random, on a yearly basis, so every child will have an opportunity to play, and the following will apply for the 3rd through 6th grade for rosters:

Basketball - There will be a minimum of 8 players and a maximum of 15 players per team.

Volleyball - There will be a minimum of 9 players and a maximum of 17 players per team.

Baseball/Softball - There will be a minimum of 12 players and a maximum of 23 players per team.

At the 7th and 8th grade level in order to prepare them for the competitiveness of high school the following shall apply:

Basketball - If the roster exceeds 15 members we will expand to more than one team. A roster of less than 15 and more than 8 will require try-outs for a total of 8 players. We will make every effort to create an additional team.

Volleyball - If roster exceeds 17 members we will expand to more than one team. A roster of less than 17 and more than 9 will require try-outs for a total of 9 players. We will make every effort to create an additional team.

Baseball/Softball - If roster exceeds 23 players we will expand to more than one team. A roster of less than 23 and more than 12 will require try-outs for a total of 12 players. 4.

Cheerleading - If roster exceeds 12 cheerleaders it will require try-outs (12 for 5th-6th and 12 for 7th-8th) for a total of 12 cheerleaders for each combined grades

Football/Track - A minimum of 15 players is needed to form a team. No maximum number of players applies.

 

 

ARTICLE VII - Coaches Responsibilities and Guidelines

A coach's child may play on the team with one assistant coach's child playing on said team also. (Additional rules are in the process of being developed)

ARTICLE XI - Parental Responsibilities

Fill out necessary forms on time, and return promptly to coordinator.

Pay sports fees promptly.

Expected to work at various times throughout the year to help finance the athletic programs at St. Clement.

Required to follow the rules set forth by the parish education committee concerning eligibility for sports.

Return all uniforms and equipment distributed to the students.

For students who attend another school, but play on a parish team, is also requested to follow the same guidelines.

ARTICLE X – Grievances/Suggestions

Any complaints or suggestions concerning a coach, team sport or program should be in writing, along with your name and telephone number so we may get in contact with you. Please send to the President of the Board.
